As the world becomes increasingly virtual, more and more people are finding themselves in the position of having to master virtual facilitation. While virtual meetings come with their own set of challenges, with the right tools and techniques, it is possible to run an effective and engaging virtual meeting. In this post, I’ll provide 10 tips for facilitating your next Zoom meeting.

1. Prepare and Test Your Technology

Before you start your Zoom meeting, take some time to prepare and test your technology. This means checking your internet connection, making sure your microphone and camera are working, and ensuring that you have the latest version of Zoom installed on your computer. Familiarise yourself with Zoom’s features, such as screen sharing and breakout rooms, so that you can use them seamlessly during the meeting.

2. Set Expectations for Participants

When sending out the invitation for your Zoom meeting, be sure to set clear expectations for participants. Let them know what the meeting is about, what they need to prepare beforehand, and what you hope to accomplish during the meeting. Encourage them to test their technology ahead of time so that they are ready to participate fully in the meeting.

3. Start with an Icebreaker

Virtual meetings can be a bit awkward at first, especially if participants don’t know each other well. Starting with an icebreaker can help to break the ice and get everyone more comfortable with one another. Consider asking each participant to share a fun fact about themselves or to answer a fun question related to the meeting topic.

4. Establish Ground Rules

Establishing ground rules is important for any meeting, but it is especially important for virtual meetings. Make sure that everyone understands the ground rules for the meeting, such as muting their microphone when not speaking, using the chat feature to ask questions, and respecting each other’s opinions.

5. Use Visual Aids

Visual aids can help to make virtual meetings more engaging and interactive. Consider using slides, videos, or other visual aids to help illustrate your points and keep participants engaged.

6. Encourage Participation

Encouraging participation is key to running an effective virtual meeting. Make sure that everyone has a chance to speak and participate in the discussion. Consider using breakout rooms to allow for smaller group discussions, or using polling features to get feedback from participants.

7. Keep the Meeting on Track

It can be easy for virtual meetings to go off track, so it’s important to keep the meeting focused and on track. Stick to the agenda and keep the discussion moving forward. If necessary, use a timekeeper to ensure that everyone has an equal opportunity to speak.

8. Use Chat and Annotation Features

Zoom offers a variety of features, such as chat and annotation tools, that can help to make virtual meetings more engaging. Encourage participants to use these features to ask questions, provide feedback, and collaborate with one another.

9. Take Breaks

Virtual meetings can be tiring, so it’s important to take breaks to help keep everyone engaged and focused. Consider taking a short break every 45 minutes to allow participants to stretch their legs and refresh their minds.

10. End with a Recap and Action Items

At the end of the meeting, be sure to recap what was discussed and any action items that were agreed upon. This will help to ensure that everyone is on the same page and knows what they need to do moving forward.

Remember that Zoom meetings are not the only tool in your arsenal. While they are convenient and effective in many situations, there may be times when an in-person meeting or a different virtual platform may be more appropriate. Be open to exploring different options and tailoring your approach to the needs of your group. By continually adapting and refining your facilitation skills, you can ensure that your meetings are productive, engaging, and ultimately, achieve their intended outcomes.
